Applications for vending tables and booths for 2027 REAF are now open. Vending spaces will be assigned and notifications sent on September 17, 2026 to approved vendors with instructions for payment through Eventbrite. Your space is not reserved until payment is received! Applications received after September 17 will be processed on a space available basis.
VENDING SPACE: All vending spaces, regardless of size, include TWO vendor passes. All vending spaces will be located at the Ithaca Downtown Conference Center (IDCC).
IDCC: The conference center is a brand new building at 116 E. Green St, Ithaca. Classes will be on the 1st floor, and vending and performances will be on the 2nd floor. The building is highly secure, with bonded security guards at each entrance door and also on the floor during festival hours. The vending area doors will automatically lock at the end of vending hours. Food will be on sale at concession areas in the building. NO OUTSIDE food may be brought in ($500 fine). Medical exceptions may be requested. Refillable bottles are allowed, and there will be water refill stations available.
HOTEL ROOMS: Hotel rooms may be requested on your Eventbrite registration. Room assignments and booking information will be sent out over the next few weeks, no later than September 30.
MARRIOTT HOTEL: We have a 40-room block at the Marriott on the Commons, 120 S. Aurora St. ($219/night plus tax, $12/night parking OR $30/night valet parking). This hotel has reserved parking spaces in the Green St garage, which is attached to both the Marriott and the IDCC. We recommend this hotel for vendors and also for persons with disabilities.
THE ITHACA HOTEL: We have a complete buy-out with 160 rooms at The Hotel Ithaca, 222 S. Cayuga St. ($159/night, free parking onsite or in Cayuga St. garage). The Dungeon, Littles Room, Swingers Playroom, and Socials will all be housed at The Hotel Ithaca. Most of the rooms in this hotel will be reserved for people who purchase a Playroom Pass.
Vendors will be open Friday 5 - 11 pm and Saturday 11 am - 6 pm in the 2nd floor ballroom and lobby at the IDCC.
SINGLE BOOTH: 8x10 space with up to 2 tables and 2 Vendor Passes. You may bring your own tables, tablecloths, banners, and/or grid wall. Some booths will have a carpeted airwall behind them and may use push pins to attach signs, posters, light fabric, etc. $250
MID-SIZE BOOTH: 8x15 space with up to 3 tables and 2 Vendor Passes. You may bring your own tables, tablecloths, banners, and/or grid wall. $350
DOUBLE BOOTH: 8x20 space with up to 4 tables and 2 Vendor Passes. You may bring your own tables, tablecloths, banners, and/or grid wall. An additional Vendor Pass may be ordered ($30). $450

We're in a new venue and doing our best to make load-in and load-out as smooth as possible. :)
VENDOR LOAD-IN will take place on Thursday evening and Friday by appointment (more information to come).
The loading dock at the IDCC has room for 5 cars to wait in line. We will plan to quickly unload one car at a time with a team of volunteers. Each vending space comes with 2 passes. We highly recommend you have an assistant stay with your merchandise while the driver parks the car after unloading.
VENDOR LOAD-OUT will begin at 6 pm on Saturday. There will not be any activities scheduled in the vending ballroom after load-out. As soon as a vendor is packed up, they can get their car and bring it to the loading dock.
GENERAL: All vending spaces come with tables & chairs, and free wireless internet access. Electricity is available by request on your application. Vendors will be included in our program, on our web site, and on our app. Meals are available on site. NO OUTSIDE FOOD ($500 fine). Refillable water bottles are allowed. No couponing or flyers except at your own table.
SET-UP: Set-up will take place on Thursday evening and Friday by appointment. Vendors must keep their table staffed throughout the listed vending hours. We encourage vendors to cover their tables with a cloth when they are not there.
DOOR PRIZES: Donations for our Door Prize table are welcome. We are a NYS non-profit but not 501c3, so donations are not tax deductible.
